At Yūgen Forest, we believe it is important that your personal data is safe and handled with care. In this privacy policy, we explain which data we collect, why we do so, and how we handle it.

1. Who are we?

Yūgen Forest is located at Vossemeerdijk 6, 8251 PN Dronten and is responsible for the processing of your personal data as set out in this policy.

2. What data do we collect?

We only collect data that is necessary to perform our services properly. This includes:

• Name and contact details, for example when signing up for an event, newsletter, or volunteer work
• Payment details, when purchasing tickets or products
• Any dietary requirements or other relevant information when participating in retreats
• Visit data via our website, such as cookies and analytical tools
• Company details and contact information of facilitators and business applicants who approach us for a retreat, event, or collaboration, including answers to our pre-screening form for ceremonial work

3. Why do we collect this data?

We use your data to:

• Properly process your registration, order, or booking
• Keep you informed about your participation and send practical information
• Send you our newsletter, only if you have signed up for it
• Improve our services
• Assess and prepare a potential collaboration with facilitators and business partners

4. On what legal basis do we process your data?

We process your personal data on the following grounds, depending on the situation:

• Consent, for example if you sign up for our newsletter or fill out a pre-screening
• Execution of an agreement, for example with a booking, or the preparation thereof, such as during intake interviews and quotes
• Legal obligation, for example for storing invoice data
• Legitimate interest, such as improving our services or managing business relationships

5. Who do we share your data with?

We do not share your data with third parties unless it is strictly necessary to perform our services. In that case, we enter into processing agreements to protect your data.

We work with the following processors, among others:

• Google Workspace, for processing forms and internal communication
• Amazon Web Services (Amazon SES), via FluentSMTP, for sending email confirmations
• Mollie, for processing payments

With Google and Amazon Web Services, your data may be processed on servers outside the European Union. These parties provide appropriate safeguards in line with the GDPR. Mollie processes your data within the European Union.

6. How long do we keep your data?

We do not keep your data longer than necessary for the purpose for which it was collected. As an indication, we use:

• Newsletter subscribers: until you unsubscribe
• Applications and pre-screening of facilitators or business contacts: up to 12 months after the last contact moment, after which we delete the data
• Bookings and participant data: up to 24 months after the retreat or event
• Invoice data: 7 years, legal retention obligation

7. Cookies

Our website uses functional and analytical cookies to function properly and gain insight into the use of the site. We do not place tracking cookies without your consent.

8. Your rights

You have the right to access, correct, or delete your data. You can also object to the use of your data, withdraw your consent, or request the transfer of your data. Send us an email at info@yugenforest.nl if you want to exercise these rights.

If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl.
